The Receptionist is responsible for day to day creation and filling of assigned sites The position is primarily responsible for ensuring all sites are manned with guards who meet site-specific requirements

  • Job Description Under the direct supervision of the Operations Manager, this position provides administrative and Receptionist support for Cambridge Security Services Corp. In addition to typing, filing, and scheduling, performs duties such as coordination of meetings and conferences, obtaining supplies, coordinating direct mailings, working on special projects, answering inbound phone calls directing callers to the proper personnel. Also, answers non-routine correspondence and assembles highly confidential and sensitive information.
  • Deals with a diverse group of important external callers and visitors as well as internal contacts at all levels of the organization. Independent judgment is required to plan, prioritize, and organize a diversified workload.
  • Responsibilities include: Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.
  • Answers the phones in a timely manner and directs calls to the correct offices. Will transfer a caller to an associate's voice mailbox when the associate is unavailable. Takes messages or fields/answers all routine and non-routine questions. Works in cooperation with other staff assistants to cover phones.
  • Greet clients and applicants as soon as they arrive and connect them with the appropriate party.
  • Schedules and organizes complex activities such as meetings, travel arrangements, conferences, and department activities for all members of the department.
  • Organizes and prioritizes large volumes of information and calls.
  • Organize and maintain the Quartermaster room.
  • Assist with the On-boarding process. Sorts and distributes mail. Opens mail as designated.
  • Distribute incoming documents to the appropriate departments when necessary.
  • Assists with ordering, receiving, stocking, and distribution of office supplies.
  • Assists with other related clerical duties such as photocopying, emailing, and collating.

Required Experience:

  • Associate's degree preferred, but high school diploma accepted with some college or equivalent experience.
  • 2+ years' experience as a Receptionist
  • Knowledge of spreadsheets and word processing documents, Microsoft applications.
  • Exceptional customer service skills and professional phone manners.
